Contract Management
The ProCon Contract Management Module provides a broad range of rich functionality to enable the configuration and management of all common contracting activities such as variation orders, correspondence, claims, site instructions etc. Throughout the life of the contract all such activities are fully audited with secure document storage and retrieval. Each contract also has it-s own financial and risk register, accessible by authored team members which provides consolidated financial and schedule information for reporting and management purposes.
- Contract Registers - At the core of this module, ProCon provides flexible functionality to allow the data capture and process modelling for any contract management function. To allow the contract team to quickly locate, report and view a real-time view of the status of a contract each contract has it-s own individual contract register recording an up to date record and audited log of all activities.
- Document Management - To compliment the contract register and reflect the importance of legally binding documents e.g. variation orders etc, each contract maintains it-s own individual document library with functionality for document templates, advanced searching, categorisation and security.
- Contractor Collaboration - Team and collaboration capabilities are provided enabling both Parties to communicate and take part in fully joined up electronic contract management processes through the use of the secure contractor portal.
- Financial/Schedule Register - This contract management functionality provides all key contract and schedule details in an aggregated manner in a format that allows authorised project and contract managers to quick gain exposure to the key financial/schedule status of a contract or series of contracts while being able to gain early warning to potential risks such as claims and overruns.
- Workflow and Authorisation - In order to ensure contract compliance on processes and procedures, each contract activity can be configured to map existing organisational/project procedures, authorisation delegations and processes.
Additional functionality includes:-
- Access to an organisational library of standard contract pro-form document templates.
- Automatic generation of configurable referencing conventions.
- Ability to create in real-time, populated Word documents for each contract activity.
- Contact administration document library for recording and categorisation of all contract related documents e.g. correspondence, EPC documents etc.
- Ability to form complex relationship and audit trails between related inter-Party contract activities.
- Support for on-line notifications of tasks associated with contract management activities.
- Contract obligation management and alerts.
- Configurable contract level security to protect unauthorised access by non-commercial contract team members to sensitive contract information.
